Here’s how:

Go to the Employees menu, then select Payroll Taxes and Forms. Click Wage Reporting, then choose Purchase W-2/W-3 forms. Select the forms you want, then click Add to Cart. Review your order details, then click Checkout Now. Select a payment method, then click Place Order.

Go back to the Employees menu, then select Print Forms. Select W-2/W-3 Forms, then click Next. Mark the employee names for those who need a form printed for them, then click Proceed with Printing.

Printing W2 Forms in QuickBooks Desktop

The first step to printing your W2s is to make sure that you have completed your payroll setup, including setting up your company information, employees, and payroll items. You can get help with this by calling our QuickBooks support team.

Once you have finished all of the necessary setups and have run at least one payroll, you are ready to print your W2s.

From the Employee menu select Payroll Tax Forms & W-2s and then Print/E-file Forms.

Select the year for the forms you want to print from the Year drop-down menu.

Select W2/W3 from under Federal Tax Forms.

From the Company, drop-down choose the company for which you wish to print W2 forms if you have more than one company file set up in QuickBooks.

Under Select Employees choose All or a specific employee based on how many W2s you wish to print at once, then click Next.
